Privacy policy
What we do with your data, plainly: we use it to ship your coffee, to build the quote you asked for, and to email you only if you said we could. We do not sell it.
Who handles your data
Amazonian Coffee Company LLC runs this site and the store behind it. Our address is 440 N 1st St, San Jose, CA 95112, and the contact for anything privacy-related is hello@amazoniancoffeeco.com.
This policy covers this site and the checkout pages Shopify serves on our behalf. It does not cover other sites we link to.
What we collect
Only what the thing you are doing actually needs. No form on this site asks for a field that then goes unused.
- If you buy coffee: name, shipping and billing address, email, phone and your order details. Shopify processes the payment: we see that it cleared and the last four digits, never your full card number.
- If you request a business quote: name, email, phone, job title and how you prefer to be contacted; your company's name, city, state, ZIP and number of locations; and your questionnaire answers — volume, formats, grind, frequency, timeline — which are what the proposal is calculated from.
- The consent you gave: we store the exact wording you read, the date, your IP address and the browser you sent it from. That is the evidence that consent happened and what it said.
- If you join the newsletter: your email and the language we write to you in.
- What happens to our emails: whether they were delivered, bounced or marked as spam. It is how we stop writing to people who do not want to hear from us, which is the only way our email keeps reaching the people who do.
- Aggregate traffic: which pages get viewed and roughly from where, in aggregate and without cookies. No profile of you is built and you are not followed across sites.
What we use it for
Every field we collect supports one of these five things, and nothing else.
- Fulfilling your order: charging it, packing it, shipping it and telling you where it is.
- Building your quote: running the proposal against current pricing, generating the PDF and sending it to you. Without those answers there is no proposal to build.
- Writing to you: answering what you asked, and sending news only if you ticked that box.
- Keeping the site up: seeing which pages get used, catching errors and stopping abuse.
- Meeting legal duties: keeping what tax rules and commercial-email law require us to keep.
The consent rule
No commercial email leaves here without permission, and that is not a promise — it is how the system is built. Every send goes through a single gate that checks the database first, and if there is no live permission for that topic, the email does not go out.
No box is pre-ticked. A pre-ticked box is not consent: it is a record that someone agreed to something they never read.
Permission to prepare your proposal and a newsletter subscription are two different things, which is why they are asked separately. The first allows one specific commercial conversation; the second, an open-ended newsletter. Agreeing to one does not grant the other.
Who we share it with
The vendors that make the business run, and nobody else. We do not sell personal information and we do not share it with advertisers — in the sense California law gives those two words, we do neither.
- Shopify: storefront, cart, checkout, payments and order management.
- Supabase: the CRM database and the proposal archive.
- Resend: email delivery.
- HubSpot: a commercial CRM portal that still holds contacts and companies loaded up to 18 September 2026. The site no longer sends it anything: nothing new has reached it since that date. It never sent email — Resend always does that, so there is only ever one unsubscribe list.
- Vercel: site hosting and aggregate analytics.
- Carriers: your name and address, so the package can reach you.
We would also hand over data if a competent authority required it, or to defend a legal claim — and only the part that request covers.
Where it lives and how long
On servers in the United States.
- Orders: as long as tax and accounting rules require.
- Contacts and quotes: as long as the commercial relationship is alive. Ask us to delete them sooner and we will.
- PDF proposals: archived. The download links we email expire after 90 days; past that, ask us and we will sign a fresh one.
- Consents and unsubscribes: as long as we may need to prove them. The unsubscribe list is never deleted: deleting it would mean writing again to people who asked us not to.
Your rights
Email hello@amazoniancoffeeco.com and we will do the following, wherever you live. We do not sort rights by state: honouring them for everyone is simpler than working out who is entitled to demand them.
- Access: tell you what we hold about you and where it came from.
- Copy: give it to you in a file you can take elsewhere.
- Correction: fix whatever is wrong.
- Deletion: erase it, except what the law requires us to keep.
- Objection: stop using it for whatever you would rather we did not.
- No retaliation: exercising any of these changes neither your price nor the service you get.
We may ask you to confirm your identity before we touch anything: it is the only thing stopping someone else from requesting your data while pretending to be you. We respond within 45 days or sooner.
How to stop our email
Every commercial email carries an unsubscribe link that works in one click, with no password and no account to create. That same link opens a preference centre where you can pick which topics to keep instead of leaving altogether.
Transactional email stays while an order is in flight: your order confirmation and shipping notice are not marketing.
How we protect it
The keys that reach the database live on the server only and never touch the browser. Personal links — unsubscribe, preference centre, your proposal download — are signed and expire, and the preference page is kept out of search engines.
No system is airtight. If something happens that affects you, we will tell you.
Children
This site is not directed to children under 16 and we do not knowingly collect their data. If you believe a child gave us theirs, email hello@amazoniancoffeeco.com and we will delete it.
Changes to this policy
When it changes, it changes here, and the date above says so. If the change is significant we also email everyone we have permission to write to.
